E-mail is a familiar word to almost everyone these days. In today's era of modern business, e-mail has emerged as the most important method of communication, and even a web hosting client values his email more than his website. But at the same time, unfortunately, only a few people know the actual steps involved in the working of an e-mail service, which results in long time required to solve even a minor problem that arises.

The e-mail address is a user's account that has a particular domain name which is hosted somewhere. The user can have his/her own domain name or can have a domain name that is provided by someone who allows the user to keep an account, examples of such account providers are yahoo.com or google.com. In both ways the domain has to be hosted and not just registered. The server which provides the software ability to send and receive mails, and some space to store some mails in a mailbox is known as the Web hosting Server.

The ability of creation of user email accounts is invested with all the web hosting accounts available. For example, to create a simple email address like 'myname@mydomain.com', you will have to establish a login to your web hosting control panel for 'mydomain.com' and will have to do a new user creation bearing the name 'myname' in the user account management section and will have to provide a security password for this account. On completion of this process, a new mailbox is created which is accessible to the internet on the server of mydomain.com and you can start email communication by sending and receiving mails in which ever manner your host allows you to.

The two types of email accounts available for usage are POP and the IMAP. The most common type of email account available is the POP (Post Office Protocol). IMAP shall be discussed later.

As stated earlier, there is a unique username and password for every e-mail. Whenever you want to check your email, may it be any platform like hotmail.com which is a web based interface or Outlook express which is an email client; you have to provide this username and password of yours. The username provided by you provides the information to the server as to which mailbox file is to be retrieved, and the password ensures your authorization to view that particular mailbox file. From the time of the creation of your account, your password is stored in a file on the server and every time you try to access your mailbox remotely, you have to provide your password which is checked by matching it with the password which is in the record and thereby allowing access. You are allowed access only in case your password matches the one in the server directory.

Every password is case sensitive, for example, if the original password provided by you is 'PassWord', then entering 'password' wouldn't work and you would be denied access. However, usernames are not case sensitive and thus, 'MyName' and 'myname' would refer to the same mailbox.

Web-Based Mail: The access of this type is granted through the web browser. Your browser will direct you to a particular web page which has a login area which is in-turn connected to the web hosting server which provides hosting to your account. When you enter your username and password, you are redirected to a page which shows your mailbox content lying on the server. Here on this page you can carry out various functions like reading, editing, forwarding or deleting mails or sending new ones from your mailbox. This is carried out by a mail program which runs on the servers like Squirrelmail, Horde, NeoMail, or customized interface like those used by Yahoo or Gmail etc. Some severs also provide options like choosing the mail program through which you want to log in as per your choice. Web-based mail can be accessed from anywhere in the world where internet access is available.
